Introduction and Agreement

 

These Terms and Conditions govern the relationship between Kaido Travel ("we," "us," "our"), a registered travel agency, and the client ("you," "your," "traveler"). By booking any travel services through Kaido Travel, you agree to be bound by these terms and conditions. Please read them carefully before making a reservation.

Booking and Payment Terms

Reservations A booking is confirmed only upon receipt of a completed booking form and the required deposit. All bookings are subject to availability and confirmation by Kaido Travel.

 

Deposits

A non-refundable deposit of 25% of the total trip cost is required to secure your reservation. For certain packages or during peak seasons, higher deposits may be required.

 

Final Payment

Full payment is required 60 days prior to departure. For bookings made within 60 days of departure, full payment is required at the time of booking.

 

Payment Methods

We accept payment by credit card, bank transfer, or other specified payment methods. All prices are quoted in US Dollars unless otherwise specified.

 

Cancellation and Refund Policy

Cancellation by Client Cancellation fees apply as follows:

  • 60+ days before departure: Loss of deposit

  • 59-30 days before departure: 50% of total trip cost

  • 29-15 days before departure: 75% of total trip cost

  • 14 days or less before departure: 100% of total trip cost

 

Cancellation by Kaido Travel

We reserve the right to cancel any trip due to insufficient participation or force majeure. In such cases, a full refund will be provided, excluding expenses for already purchased travel insurance and visa fees.

 

Travel Insurance

 

Mandatory Insurance Comprehensive travel insurance is mandatory for all travelers booking through Kaido Travel. Your policy must cover medical emergencies, trip cancellation, and evacuation.

 

Proof of Insurance

Proof of valid travel insurance must be provided prior to departure. Kaido Travel reserves the right to cancel your booking without refund if adequate insurance coverage is not secured.

Travel Documents and Requirements

Passports and Visas

You are responsible for ensuring you have valid travel documents, including passports with at least six months validity beyond your return date and any required visas.

Health Requirements

You must comply with all health requirements, including vaccinations and medical clearances, for your chosen destination(s).

Liability and Limitations

Agency Role

Kaido Travel acts as an agent for transportation companies, hotels, and other service providers. We are not liable for any injury, damage, loss, accident, delay, or irregularity resulting from circumstances beyond our reasonable control.

Service Providers

While we carefully select our service providers, we cannot control their actions or omissions. Claims for unsatisfactory service should be directed to the service provider.

 

Force Majeure

We are not liable for any changes, cancellations, or disruptions due to circumstances beyond our control, including but not limited to weather, strikes, civil unrest, terrorist activities, natural disasters, or pandemic-related restrictions.

 

Changes to Bookings

Changes by Client

Any changes requested after booking confirmation may incur additional fees. Changes requested within 30 days of departure may be treated as cancellations.

Changes by Kaido Travel

We reserve the right to make necessary changes to itineraries. Significant changes will be communicated to clients as soon as possible, with the option to accept the changes or receive a full refund.

 

Special Requests

While we will endeavor to accommodate special requests (dietary requirements, room preferences, etc.), we cannot guarantee their fulfillment.

 

Privacy Policy

Your personal information will be handled in accordance with our Privacy Policy and applicable data protection laws.

 

Price Changes

All prices are subject to change without notice until full payment is received. Changes may occur due to currency fluctuations, fuel surcharges, or tax modifications.

 

Complaints and Dispute Resolution

During Travel Any complaints during travel should be reported immediately to our 24/7 support line to allow for prompt resolution.

Post-Travel Complaints must be submitted in writing within 30 days of trip completion. We will respond within 30 business days.

Jurisdiction

These terms and conditions are governed by the laws of [State/Country]. Any disputes will be subject to the exclusive jurisdiction of the courts in [City, State/Country].

 

Updates to Terms

Kaido Travel reserves the right to update these terms and conditions at any time. The latest version will be available on our website.
